   GGLC COVID-19 - GENERAL EVENT POLICY AND GUIDELINES

The GGLC is committed to providing events that put participant safety as a number one priority. All GGLC events will follow the guidelines and mandates of the local health officials and authorities. GGLC Events are for members and invited guest ONLY.

Participants are required to follow these guidelines. Any participant may be dismissed from the event for non-compliance.

GGLC EVENTS WILL:

  • Follow state and municipal guidelines in relation to COVID-19
  • Require or strongly encourage all participants and workers to wear masks, for not only their own safety but for the safety of everyone on-site
  • Provide COVID-19 prevention supplies to event staff and participants-hand sanitizer, disposable gloves, trash baskets, disposable face masks and cleaners/disinfectants.
  • Plan ways to limit in-person contact for workers supporting our events
  • If possible, identify a space that can be used to isolate staff or participants who may become ill at the event.
  • Close and/or limit events to spectators
  • Develop flexible refund policies for participants
  • Encourage/Require event staff and participants to stay at home if they are at higher risk for severe illness, or if they are sick or experiencing COVID-19 symptoms such as fever, cough or shortness of breath.
  • Develop plans for limiting the sharing of equipment or the sanitization of equipment during hand-offs
  • Determine how to hold driver meetings within social distancing protocols, keeping in mind any site-specific limitations such as access to PA systems or wide-spread internet access

    PRE-EVENT PROTOCOLS:

  • The GGLC will try to provide consistent and informative pre-event messaging to participants and workers so that everyone arrives to the site with an understanding of the COVID-19 safety protocols
  • The GGLC asks that anyone who is at higher risk for severe illness, feeling unwell, or who has been in contact with anyone that is sick in the last two weeks to stay home
  • The GGLC cancellation policy will allow drivers who are not feeling well to receive a refund
  • The GGLC will describe to participants the protocols that workers will follow, so that workers and participants make an educated decision about attending the event
  • Encourage participants to come prepared to protect themselves and their equipment

    POST-EVENT PROTOCOLS:

  • Any participant that falls ill within 2 weeks after the event MUST contact the GGLC and share a description of their symptoms, related test results and movements during the event.
  • The GGLC will make every effort to alert affected participants of the situation.

    GENERNAL OPERATIONS:

  • Event hours may be altered to provide more time for set-up, registration and break-down
  • The GGLC will NOT provide community beverage coolers. Suggest participants bring their own, or have water available in opened cases, but NOT chilled. Shared coolers are discouraged.
  • Use disinfecting wipes or disinfectant spray and disposable towels to wipe down equipment, supplies, shared work areas and surfaces between uses, shift changes and frequently throughout the day
  • Clean frequently touched surfaces such as tables, counters, doorknobs, light switches, pens, keyboards, and cones (when used)
  • Ensure there are plenty of hand washing stations or hand sanitizers in and around the facility, particularly high traffic areas
  • The GGLC will NOT provide community food and/or snacks
  • The GGLC will NOT have community pens, clip boards, tire pressure gauges, etc. Please bring your own pen and need equipment!
  • Close events to spectators
  • Drivers will be asked to park 6' away from other vehicles or as far as paddock space allows
  • Only allow essential, on-duty workers are allowed in specialty work areas such as timing and scoring; when someone is not working a session, they should remain at their cars or follow social distancing protocols
  • As much as possible, staff should keep a single radio with them and not hand off between staff members; before storing or when giving it to another staff member, wipe off the radio with a disinfectant wipe

    SOCIAL DISTANCING

  • Six feet of space should be kept between individuals for the entirety of the event, except in cases of participants of the same household
  • Staff may remind participants during the event to maintain Social Distancing
  • Anyone who continues to ignore social distancing procedures even after staff input may need to be asked to leave

    COACHING, PASSENGERS AND CAR SHARING

  • In vehicle coaching/passengers will NOT be allowed unless the driver and coach/passenger are from the same household. A maximum of the driver plus one other occupant is allowed.
  • At most 2 drivers can share a single car, however both drivers and the car must be from the same household.
  • When appropriate the coaches and drivers can use radio or phone communication to allow the coach to communicate from a remote/separate location. The radio/phone must be safely and firmly mounted in vehicles.

    PERSONAL PROTECTIVE EQUIPMENT & HYGIENE

  • Event staff and ALL participants are required to wear cloth face coverings or masks when outside their car except participants in open cars, who should continue to wear masks outside and inside their cars.
  • The GGLC will try to provide COVID-19 prevention supplies to event staff and participants. All staff and participants are asked to bring and wear masks and gloves.
  • The GGLC will encourage everyone to, wash hands with soap and water for at least 20 seconds regularly especially after using the restroom, before eating, and after blowing your nose, coughing, or sneezing.

    SOCIAL ACTIVITIES

  • All social aspects of the event, i.e. meals, parties etc. are suspended
  • The GGLC asks all participants to avoid eating in indoor/enclosed locations. These areas will be closed.
  • Limit physical contact; refrain and discourage hugs, handshakes and high-fives

    COURSE SET-UP & BREAK DOWN

  • Minimize number of event setup personnel
  • Event setup workers should wear nitrile gloves to avoid cross-contamination of touching cones, timing equipment, and worker station items. (Nitrile is preferred to latex due to possible allergic complications.)

    REGISTRATION & CHECK-IN

  • Online registration is required. There will NOT be any at-event walk-up registrations.
  • Participants will be asked to maintain social distancing at check-in. Do not congregate at the check-in area.
  • When possible the GGLC will use free standing plexiglass barriers.
  • When possible the floor/ground will be marked indicating where people should stand
  • The GGLC will utilize online waivers through registration software
  • Do not handle clipboards. Have waivers sitting in a place accessible by the participant. Sanitize hands before and after handling the pen.

    DRIVER & WORKER MEETINGS

  • Worker & Driver meetings will be held outdoors and social distancing protocols must be followed
  • COVID-19 procedures will be reviewed in these meetings
  • The GGLC will investigate using Virtual meetings prior to the event.

    LOANER HELMETS & EQUIPMENT

  • The GGLC will suspend the use of loaner helmets at events. All participants are required to bring their own helmets and driver equipment
  • Participants will NOT be allowed to share their helmet or safety equipment with anyone NOT of the same household

    WORK STATIONS

  • Each work station will be equipped with appropriate disinfectant, hand sanitizer, etc.
  • Every effort will be made to minimize number of people in the work area, ensuring 6 feet of separation
  • The GGLC mandates workers to wear masks (provide PPE to workers at no cost when necessary). Workers are encouraged to wear gloves
  • Workers are asked to disinfect all shared work areas-including computer equipment and radios-between staffing changes and at the end of the day
  • General social distancing protocols should be followed
  • The GGLC will assign household members together, when possible

    AT GGLC AUTOCROSSES THE GGLC WILL:

  • Require event staff and participants to stay at home if they are at higher risk for severe illness, or if they are sick or experiencing COVID-19 symptoms such as fever, cough or shortness of breath.
  • Limit the sharing of equipment or the sanitization of equipment
  • Hold driver meetings within social distancing protocols
  • NOT supply food, water. There will not be community beverage coolers or similar.
  • NOT supply lunch.
  • NOT supply loaner helmets.
  • NOT have community pens, clip boards, tire pressure gauges, etc.
  • Announce in advance any change normal event hours to provide more time for set-up, registration and break-down.
  • The GGLC will make every effort to alert affected participants of any participant that falls ill withing 2 weeks after the event.

    AT GGLC AUTOCROSS PARTICIPANTS ARE REQUIRED TO:

  • To stay home if you are NOT feeling well or have been ill within two weeks prior to the event. The GGLC will refund entry fees.
  • Immediately report to the GGLC should you fall ill at the event.
  • Follow the local, Track and GGLC COVID-19 protocols for participants and workers
  • Bring your own - Food; Water/Beverage; Pen (for signing documents)
  • Bring your own PPE - Mask; Gloves; Wipes and/or hand sanitizer
  • Avoid sharing equipment, tools, food, beverages, etc.
  • Bring and use their own helmet and driver equipment. Do not share with others.
  • Maintain social distancing at all times. Staff may remind participants during the event to maintain Social Distancing. Anyone who continues to ignore social distancing procedures will be asked to leave.

  • Stay out of special work areas (timing/scoring, start/finish) unless you are assigned to work
  • Limit the guests to family (of the same household) and essential support. Guest must be pre-registered with the GGLC prior to the event
  • Wear a mask at all times, unless on-track. If are unwilling to meet this requirement and wish to cancel, notify the GGLC at least 48 hours in advance and your entry fee will be refunded.
